Welcome & Access Collection

  • You receive your welcome email with onboarding checklist
  • Aesthetix Hub login credentials are sent
  • We send access request instructions for all platforms (Google Ads, Meta, GA4, website CMS)
  • You schedule your kickoff call (within 48 hours)

Day 2-3

Kickoff Call

  • 60-minute video call with your account manager
  • We review your goals, target audience, current marketing, and competitor landscape
  • We align on KPI benchmarks and what "success" looks like for your practice
  • We confirm your service offerings, pricing, and target locations
  • You provide brand assets, treatment menus, and any existing creative

Day 3-7

Setup & Build

  • We install tracking codes (GA4, Google Ads, Meta Pixel, Google Tag Manager)
  • Aesthetix Hub CRM is configured with your pipelines, automations, and review sequences
  • Ad accounts are structured and campaigns are built
  • Social media content calendar is drafted (if applicable)
  • Landing pages or funnels are created (if applicable)

Review & Launch

  • You review campaign drafts, ad copy, and creative assets
  • We address any feedback or revision requests
  • Campaigns go live upon your approval
  • Automations are activated in Aesthetix Hub

What we need from you.

We've kept your to-do list as short as possible. Here's everything we'll ask for during onboarding.

Access & Credentials

  • Google Ads account access (we'll send invitation instructions)
  • Meta Business Manager / Facebook access (if running Meta Ads)
  • Google Analytics / GA4 property access
  • Google Business Profile access
  • Website CMS login (Webflow, WordPress, Squarespace, etc.)
  • Google Search Console access (if available)

Brand & Business Info

  • Logo files (SVG or PNG preferred, light and dark versions)
  • Brand colors and fonts (if you have a style guide)
  • Complete treatment/service menu with current pricing
  • Target locations and service radius
  • Any existing marketing materials, brochures, or assets
  • Before/after photos (with patient consent) if available

Strategic Input

  • Top 3-5 treatments you want to promote most
  • Your ideal patient profile (demographics, treatment interests)
  • Competitors you're aware of in your local market
  • Any promotions, events, or launches in the next 90 days
  • Seasonality notes (slow months, busy months)

Most clients complete this checklist within 2-3 business days. Your account manager will follow up if anything is outstanding.

Aesthetix Hub is your real-time command center. As an Aesthetix Media client, you get full access to your CRM dashboard where you can see:

  • Lead Pipeline: Every lead, from initial inquiry to booked treatment, with source attribution
  • Campaign Performance: Ad spend, cost per lead, click-through rates, and conversion data
  • Automated Sequences: Status of follow-up automations, review requests, and rebooking sequences
  • Review Management: New reviews, average rating, review velocity trends
  • Appointment Tracking: Booked appointments, no-show rates, calendar overview
  • Monthly Reports: Archived reports accessible anytime

How to access

  • Lead quality review — are the right patients inquiring?
